The ChallengeLike many organisations today, QRxPharma was faced with the challenge of providing documentation access to staff and stakeholders from various locations in a secure way. The company has all the characteristics of a geographically dispersed organisation: staff and contractors in Massachusetts, Illinois, Queensland and New South Wales Australia and a Medical Advisory Board with members constantly on the move. In addition, the need to comply with the regulatory requirements of the bio-pharmaceutical industry in terms of document management and version control meant that the solution implemented had to fully support the quality and regulatory processes. "The ability to find information by being able to search on other things apart from the document title was important to us. We also needed the ability to create custom metadata fields and be able to perform searches based on those fields," said Alex Baker, Program Manager. Unfortunately, the acceptance of the SharePoint solution proved to be a failure for the following reasons: Furthermore, when accounting for the software, hardware and effort required for its implementation and maintenance, SharePoint proved to be too expensive - therefore a better solution was required. The SolutionAs a replacement for the Microsoft SharePoint system, QRxPharma selected DocBanq. The implementation of DocBanq commenced with the migration of all documents from SharePoint to DocBanq. DocBanq's unique migration features allow customers to import and export any object and its associated metadata from the system. Users were then trained, both in the company's processes and the use of DocBanq. DocBanq's ease of use and deployment allowed a dispersed organisation like QRxPharma to remotely train all their users online quickly and effectively. The ResultsThe implementation of DocBanq eliminated the problems experienced by the use of Microsoft SharePoint. DocBanq's ease of use, intuitive user interface and responsiveness, even over low bandwidth Internet connections around the world, resulted in a wide acceptance among the user base. Now all of QRxPharma's staff and stakeholders can collaborate and manage the intellectual property of the organisation from within a solution that not only extends beyond geographical boundaries but also forms the cornerstone of the quality and regulatory compliance system.
